1.
RESERVATION
PAYMENTS & ADVANCED RENT:
50% advance rent is required to confirm a reservation
after verbal confirmation. We will hold reservations
for 10 days after verbal confirmation. If we
have not received the 50% advanced rent by the 10th
day, we will attempt to call or write at least once
to collect the advanced rent. If we still have
not heard from you after our attempts to contact you,
we will assume that you do not want the reservation
and will cancel it without further notice. After
the first 50% advanced rent is collected to confirm
the reservation, the balance of rent is due 2 weeks
before the day of arrival. The Security Deposit,
if applicable, is due on the day of arrival. (Note: See Security Deposit Policy below.)
Paradise Beach Homes rents to families only, NO
GROUPS. We reserve the right
to terminate or reject any reservation if rental is
booked under false pretenses, according to FL. St.
Ch. 509.151. (Note:
See family rental policy just below)
2.
ONLINE RESERVATIONS: We are happy to provide the service of booking
reservations online through our website at www.paradisebeachhomes.com.
When a reservation is booked online, you are required
to enter in a credit card for payment to complete
the online reservation process. All online reservations
are considered tentative, until we receive it in the
office and process the payment. Once we receive
the online reservation in the office, we will automatically
process 50% of the quoted rental rate (which
includes the taxes and fees)
as provided to you online to confirm the reservation.
If you elect the trip insurance, the premium will
be added to the 50% advanced rent payment. Online
Reservations and Online quoted prices do not include
additional fees such as Pet Fees, Portofino Daily
Amenities Fees, or monthly utilities. Once we
receive online reservations in the office that require
additional fees, we will manually add those fees to
the reservation and the totals will be adjusted.
We will then send you a confirmation letter by email
and mail with the new adjusted totals.
3.
FAMILY
RENTALS ONLY/LIMITED OCCUPANCY:
The total number of people allowed in the
unit is restricted to the stated limit for each property
without prior authorization from the owner of the
rental property and Paradise Beach Homes. We
are very serious about maintaining a family atmosphere
for the quiet enjoyment of all our guests. We
rent to families and responsible adults only. (The
minimum age to rent property in the State of Florida
is 21 years of age. Some of our properties require
a minimum age of 25). Any violators will
be evicted according to F.S. 509.141. Special
consideration for groups with chaperones may be considered
with prior approval of the owner of the property and
the owner/management of Paradise Beach Homes.
Additional damage deposit, rent, and special rental
agreement may be required before entry into any rental
unit. Reservations made under false pretenses
will result in eviction, forfeiture of the total amount
of the rent collected and forfeiture of security deposit
if the maximum occupancy is exceeded or the property
incurs damage due to misuse or neglect. HOUSE
PARTIES ARE PROHIBITED. If PBH discovers a party on any property without
prior authorization, there is an after-hour charge
of $50 per hour for PBH personnel to visit rental
property after hours to break up any parties or respond
to neighbor complaints. This after-hour charge
will be deducted from your security deposit, if applicable,
or charged to an authorized credit card on file, as
well as any damages due to misuse or neglect as a
result of the unauthorized party. We do NOT
allow weddings or events at any of our properties
with # of guests that exceed 50 people. If your
event fits in this parameter, we require advance notification
and owner authorization for any type
of group gathering/wedding/reunion, etc…, as
well as additional cash deposits and special policies.
If such an event is discovered after check-in, the
penalty is either an additional $500 rental charge
(+ tax) or eviction. By signing this document
and initialing where indicated, you authorize PBH
to charge the credit card on file for the additional
charge for the unauthorized event, as well as any
extra cleanup charges.
4.
CANCELLATION
& REFUND POLICY:
We understand that sometimes it is necessary to change
or cancel a reservation; therefore PBH is now proud
to offer Vacation Rental Insurance through CSA to
help protect your vacation investment. Troubles
can occur when you lease expect them, such as illness,
medical emergencies, hurricanes, delayed flights,
and lost baggage or passports, and force you to cancel
or interrupt your trip. That is why PBH now
offers this invaluable insurance. PBH believes
this insurance is so important that we have included
the cost of the insurance coverage on your reservation.
You have until the final payment is made on your reservation
to purchase the insurance. (NOTE: See
CSA Insurance info packets provided by PBH or call
CSA directly at 866-298-6846 for further information
regarding this insurance). Once you deny the
insurance, then our normal cancellation policies go
into in effect, which are as follows: All date
changes or cancellations of a confirmed reservation
are subject to forfeiture of the non-refundable reservation
fee taken at the time reservation was booked.
No refund of advance rent will be given if a cancellation
or date change is within 7 days of date of arrival.
If you must cancel a reservation during prime season
(May, June, July, or August), we must first try to
re-rent the property before a refund of advance rent
will be given (minus the $50 non-refundable reservation
fee). If we do not re-rent the property, your
advance rent is forfeited. If the property re-rents
for an amount less than what your cancelled reservation
was booked for, you will be refunded only that amount
that brings the new reservation up to the cancelled
reservation amount. All other reservations
outside of Prime Season (September – April)
require a 30-day advanced notice for cancellation.
If you must cancel a reservation within 30 days of
the date of arrival during off-season, we must first
try to re-rent the property before any refunds will
be given, minus the non-refundable reservation fee.
Absolutely no refunds will be given after partial
use of a reserved rental unit or for early departure.
Please
note:
If for some
reason, the rental property you have reserved becomes
unavailable (i.e. the house has sold, is taken out
of our rental system, or is under maintenance/construction),
Paradise Beach Homes reserves the right to cancel
or transfer a reservation at any time prior to guest
taking occupancy. Should this occur, your reservation
will be transferred to a comparable or better unit
or we will refund all advanced rent without penalty.
If a transfer should occur, PBH reserves the
right to determine which properties are considered
comparable.
5.
DAMAGE
WAIVER/SECURITY DEPOSIT:
For standard vacation rentals, a damage waiver of
$50 is added to each reservation and is included in
the total quoted to you at the time your reservation
is made. The damage waiver is non-refundable
and covers accidental damages to the unit or its contents
up to a replacement cost or repair cost of $1000,
which is paid for by PBH. This damage waiver
does not cover damages by pets or willful or gross
negligent behavior that results in damages.
If, for some reason, you don’t pay the damage
waiver, such as for an authorized family gathering,
small wedding, or special event, then a cash security
deposit (amount determined at PBH’s discretion
at the time of booking) is required in addition to
the rent charged per rental unit and may be made in
the form cash only (no personal checks). All
units are inventoried and inspected before and after
occupancy. If placing a cash security deposit
instead of paying the non-refundable damage waiver,
the cash deposit will be refunded within two weeks
after your departure providing that:
a.
No
damage was done to the unit or its contents (linens
included) beyond normal wear and tear.
b.
All
debris, garbage and discards were placed outside
in proper containers, and no excessive garbage was
left.
c.
Soiled
dishes, glassware, silverware, and pots were cleaned
and properly put away.
d.
Unit
was left in a neat condition and furniture was not
rearranged. No items were broken or missing
from the unit; all
windows/doors
were closed and locked.
e.
All
keys and/or passes were returned to the office (a
min. $50 cash fee for each unreturned key and pass)
and all guests and their vehicles have vacated the
property by the normal check-out time.
f.
All
charges accrued during your stay were paid prior
to departure, as well as any, add’l charges
that may apply
afterwards
g.
No
undisclosed pets were discovered after check-in
(a $200 fee + tax will be charged per pet for all
pets not disclosed)
h.
Owner
lock-up/closet has not been broken into or disturbed.
i.
There
were no violations of the guest rental agreement
and house policies.
NOTE: IF
EXPENSES ARE INCURRED TO REPAIR DAMAGE, REPLACE
MISSING ITEMS, PAY FOR EXTRA
CLEANING OR ANY OTHER VIOLATIONS OF THE RENTAL POLICY
AS A RESULT OF YOUR STAY, BY SIGNING
THIS AGREEMENT YOU AUTHORIZE PARADISE BEACH HOMES
TO DEDUCT SUCH FEES AND EXPENSES FROM THE
SECURITY DEPOSIT OR CHARGE THE AUTHORIZED CREDIT
CARD ON FILE.
6.
OWNER CLOSETS/LOCK-UPS: Each property has a locked closet that has personal
property of the owners and/or maids. These locked
closets are not to be tampered with or entered into.
If evidence is found of disturbance/tampering into these
owner lock-ups, the penalty is $300 charged to an authorized
credit card on file with your reservation or automatic
forfeiture of your entire sec. deposit,
if applicable.
7.
OTHER
CHARGES & FEES: A reservation fee of $50 will be added to each
reservation for administrative costs and processing
of your reservation and is non-refundable upon cancellation.
A fee of $35 will be charged for all returned checks.
Rental guests have the responsibility to leave the rental
unit free of excessive trash/waste and excessive cleaning
upon their departure. If the rental property is
left excessively dirty, additional charges will apply,
and will be charged to an authorized credit card on
file with your reservation or deducted from Sec. Dep.,
if applicable (see paragraph #5 above).
8.
VACATION
PROPERTIES FOR SALE: In some
cases, some of our vacation properties are listed for
sale. If your vacation rental needs to be shown
to qualified buyers during your stay, you will be contacted
to schedule a convenient time for showing. In
the event you reserve a vacation property that has been
sold, you will be notified by our office as soon as
possible to arrange other accommodations. PBH
will make every effort to relocate your reservation
to an equal or better unit, but cannot guarantee another
vacation property will be available. In the event
that we do not have another rental unit, your advanced
rent will be fully refunded without penalty.
9.
FURNISHINGS: All vacation units managed by Paradise Beach Homes are
individually owned and furnished to the taste of the
owner. Please do not rearrange the furniture,
take any items outside the unit that are part of the
interior décor, move any furnishings or kitchen
items to another unit. There is a minimum charge
of $25 to return items to its original arrangement.
Each home is equipped with basic housekeeping items
such as pots, pans, dishes, glasses and flatware, an
initial supply of toilet tissue and paper towels, a
minimum of 1 television and 1 VCR, cable television,
and, in most units, an outdoor grill. Every effort
is made to list extras included in each property; however,
Paradise Beach Homes is not responsible for changes
made by owners or errors in printing.
10.
LATE
ARRIVAL: We will be happy to leave a packet containing keys
and directions to properties for any of our guests arriving
after our office is closed, provided they have paid
their rental balances in full and have submitted a signed
Guest Rental Agreement for that rental period to us
prior to arrival. Failure to return a signed Guest
Rental Agreement prior to arrival may result in denied
entry to the property. The packet will be located
in the drop box next to the front door of our office.
We ask that you please return the following morning
to complete your check-in process after late arrival.
11.
PETS: The Santa
Rosa Island Authority does not allow pets on the beach;
however, we do offer a few rental properties that do
allow pets. Please let us know if you will be
bringing a pet; we do charge a non-refundable $100 +
tax pet fee per pet for those units that do allow pets.
Long-term rentals require higher pet fees and are determined
at the time of booking. If pets are discovered
on any property without prior authorization or notification,
the penalty is a $200 charge per pet that will be charged
to the credit card on file or deducted from Sec. Dep.
for extra clean up and flea treatment.
12.
TENANT
RESPONSIBILITIES: We ask that each property be treated as if it were
your own. Please leave the property as you found
it, being sure to wash and put away all dishes, remove
all of the bed linens from the beds and place in one
general location along with bath towels, take out the
trash, close and lock all doors and windows, turn off
all lights, and drop the keys and all passes off at
the office to check-out. If you need to move furniture,
plants, or lamps, etc. for some reason while you are
here, please move everything back to its original position
before you leave. We charge a minimum of $25 to
return items/furniture to its original arrangement.
You agree to take full responsibility and pay for any
damage, breakage, and stains that occur during occupancy.
TENANT AGREES TO LEAVE THE UNIT IN AS GOOD OR BETTER
CONDITION AS WHEN FOUND UPON ARRIVAL AND AGREES TO VACATE
THE PROPERTY (INCLUDING ALL DRIVEWAYS, BALCONIES, AND
ANY AREA ASSOCIATED WITH THE PROPERTY) BY THE DESIGNATED
CHECK-OUT TIME, OR BE SUBJECT TO ADDITIONAL FEES (SUCH
FEES TO BE DETERMINED BY THE MGMT OFFICE).
13.
DIRECTIONS TO OFFICE FROM PENSACOLA:
From Interstate
10, take Exit 12 to 110-South. Follow 110-South
until it dead ends at a stop light (Exit 1b).
The big Civic Center is just on left. Go
straight through light until you come to another stop
light (and a dead end.) You are now facing Pensacola
Bay. Go left towards the 3-mile bridge.
Once you cross the bridge you are in Gulf Breeze.
Go approx. 1 mile (through 3 stop lights). Look
for signs on your right to Pensacola Beach, Ft. Pickens, or 399. Stay in right
lanes and veer to the right at the Large Neon Fish sign.
Go across the Bob Sikes Toll Bridge (50¢ per axle). You will then come to a stop light;
this is Ft. Pickens to your right and Via de
Luna Drive straight ahead. Continue straight for
½ a mile, our office will be on your left in
a small strip small. Our office is the first unit
on the end, the corner unit. We are directly across
the street from the Emerald Isle.
14.
MANAGEMENT ACCESS AND ENTRY INTO OCCUPIED PROPERTIES:
In some instances, PBH may need to gain access to an
occupied unit for maintenance, work or service order.
If this should occur during your stay, PBH will make
every effort to notify you ahead of time and make an
appointment. If for some reason, PBH is not able
to contact you beforehand and you are away from the
unit, PBH personnel will accompany any technicians or
repairman to said property while service and/or installation
occurs. To ensure a level of quality, satisfaction
and protection of our rental properties, PBH reserves
the right to enter any of our rental properties at any
time.
15.
GUARANTEE OF UTILITIES, APPLIANCES, AIR CONDITIONERS,
AND HOT TUBS/JACUZZIS: No compensation will be given for temporary outage
of electricity, gas, water, cable, or telephone service.
Outages will be reported immediately and all efforts
will be made to have them restored as soon as possible.
The operation and maintenance of these utilities are
out of the control of PBH. Appliances, Air Conditioners,
and Hot Tubs/Jacuzzis are not guaranteed and refunds
can not be given for failure or breakdown. PBH
will attempt to repair or replace any
item that is inoperable as quickly as possible, but
cannot guarantee repair will be completed during your
stay. If a part has to be ordered and item cannot
be repaired before your departure, PBH can not refund
any money. Hot Tubs are considered a luxury amenity
and are not guaranteed.
The
conditions and information contained in this Guest Rental
Agreement have been read carefully and accepted by me
on behalf of all members of my party and agree to abide
by such conditions and limitations. I agree that
my liability for this reservation is not waived and
agree to be held personally liable in the event that
any person, company, or association fails to pay for
the full amount of the charges. This agreement
constitutes a contract between renter and Paradise Beach
Homes, Inc. as agent for the Owner of said unit.
